What should a builder’s client onboarding checklist cover?

Five moments: before the quote goes out, when it is accepted, before the first day on site, the first week, and handover. Each has a handful of things that must be true before moving on: the client’s wording of what they want written down and read back, a signed scope, the variation process explained, access and hazards sorted, an update day agreed, and a follow-up call booked after completion. Clear explanation is praised in 34.2 to 40.7% of positive NZ construction reviews, so it is a common strength. Aftercare is praised in 1.9 to 2.2%, which is why the last section of this checklist exists.

Where it fails in practice

The job this document is doing.

  • —The client’s idea of what is included and yours were never actually the same thing
  • —Three people (site, office, a sub) each explain the plan slightly differently
  • —Keys, alarm codes and neighbour notice get sorted on the morning of day one, in a rush
  • —The job finishes, the final invoice goes out, and nobody calls to check the work has held up
What is in it

Open it and use it today.

  • 01Before the quote: site visit, client’s words recorded, budget range, consent, decision-maker, contact preference
  • 02At acceptance: signed quote and scope, variation process shown, deposit, terms, insurance details
  • 03Before site: dates in writing, access, health and safety, neighbours, services, subs booked, communication plan
  • 04First week: pre-construction meeting, first update on time, surprises written up same day
  • 05Handover and after: walk-through, invoice reconciled to quote plus variations, documents, follow-up call, then the review request

Free to use and adapt for your own business. Not legal advice: check contract terms against your own terms of trade and, where it matters, with a lawyer.
