What should a cleaning or property maintenance service agreement include?

The services and areas, how often and when; the price per visit and what counts as extra; when invoices are issued and due; how a scope change is priced before it happens; cancellation notice and the late charge in hours and dollars; what happens when staff cannot get in; a re-do window; insurance held; hazards and pets disclosed; how access details are stored; the notice period to end it; and a dispute route. Across 12,570 publicly posted reviews of NZ cleaning, garden and pest control businesses, repeat-use language appears in 36.8 to 43.5% of positive reviews, so these are long relationships, and quote accuracy is praised in only 3.0 to 10.6%. The agreement is where the price stops being a surprise.

Where it fails in practice

The job this document is doing.

  • —“Fortnightly clean” meant different rooms to each side, and the first invoice started the argument
  • —A client cancels on the morning three weeks running and there is no late-cancellation clause to point at
  • —Staff arrive, the lockbox code has changed, and the wasted hour is absorbed
  • —A re-do is demanded a fortnight later with no window agreed
